Cancellation Policy

A cancelled appointment affects you, your therapist, and another client.  Therapy sessions are scheduled in advance as a time reserved exclusively for our clients. When a session is cancelled without adequate notice, we cannot fill this time slot by offering it to another current client, a client on the waitlist, or a client having a clinical emergency. In addition, we cannot bill your insurance company for missed appointments.

All privately insured and self-pay clients will be charged a fee of $65.00 when an appointment is missed or cancelled without giving 48 hours advanced notice. Forward Health/Medicaid clients cannot be charged a fee (by law) but are expected to adhere to our policy. This means that if an appointment is scheduled for 11 am on a Wednesday, notice must be given by 11 am on Monday. You can cancel your appointment by leaving a voice mail or messaging your specific therapist through the portal. Please note that email and text reminders are provided as a courtesy to our clients. As the client, you are ultimately responsible for keeping track of and attending your scheduled appointments.

We will only waive this fee in case of severe or contagious illness, power/internet loss (for telehealth appointments) or extreme weather.

Missed appointment fees will be automatically charged to the credit card you have left on file, and signed consent to charge.

Treatment may be reevaluated and/or terminated when any client misses three or more consecutive appointments or frequently misses appointments during treatment.

Please note that if you miss two scheduled intake/first-time appointments for any reason, we cannot schedule a third intake appointment. We are happy to provide you with some outside referrals if you wish.
